How to add your business card signature to Gmail or Outlook

Let’s get started

Design a signature with your logo and card link, paste it into Gmail or Outlook, and check that your next email makes it easy to stay in touch.

Create your signature in Meet Well

Save your digital card first so your signature uses the right name, role, company and contact details. Open Email signature in your workspace and choose Classic, Compact or Card. Review the preview at a size that works for everyday email.

You can use your business card logo or upload a separate logo for your email signature. This is useful when the logo that works on a colored card is hard to read in an email. Turn the QR code on if it helps your recipients, and keep the clickable card link for people reading on their phone.

Select Copy signature. It copies the formatted signature for pasting into your email settings. If your browser blocks that action, choose Download HTML, open the downloaded file, and copy the rendered signature rather than the HTML source.

Add it to Gmail on a computer

  1. Open the signature settings

In Gmail, choose Settings, then See all settings. On the General tab, scroll to Signature and create or select a signature.

  2. Paste and choose defaults

Paste your Meet Well signature into the editor. Set which signature Gmail uses for new messages and for replies or forwards.

  3. Save and check

Scroll to the bottom and select Save Changes. Compose a new message and confirm the signature appears.

Add it to Outlook

In new Outlook for Windows or Outlook on the web, open Settings → Accounts → Signatures. Create a signature, paste your Meet Well design into the editor, select the defaults you want and save.

In classic Outlook for Windows, start a new message, then open Signature → Signatures. Create a signature, paste it into the editor and choose the account and message defaults. Confirm with OK. Labels and locations differ across Outlook versions; the Microsoft instructions linked below cover those differences.

Send yourself one test email

Check a received message on a computer and a phone. Click your card link, email and phone details. Make sure the logo loads, and try the QR code from a second device if you included one. Some recipients block remote images, so your name and clickable contact details should remain useful on their own.

Email apps handle formatting differently, and dark mode may change colors. If the signature looks too busy or wide, switch to a simpler layout in Meet Well and copy it again. Mobile email apps may use separate signature settings and may not preserve the same rich formatting.

Update the signature when your details change

Your public card link shows your latest saved Meet Well details. The signature pasted into your email app is a copy, however. After changing your name, role, phone, logo or layout, copy the updated signature and replace it in your email settings.

Pair it with your Apple Wallet pass: Wallet handles the introduction in person, and the signature gives your follow-up email the same recognizable identity.
